The Calgary Philharmonic Orchestra is a cornerstone musical organization and defining feature of Calgary’s civic identity. Music comes first at the Calgary Philharmonic. Artistic Operations Coordinator is point person for all guest artists regarding the details of their engagement with the Calgary Philharmonic, and serves as an assistant to the Music Director.

Essential Duties & Responsibilities:

  • Act as primary contact for Guest Artists while they are in Calgary, and ensure that all needs are met (including ground transportation, practice time, ticket requirements, etc.)
  • Arrange hotel accommodation and travel for Guest Artists and Music Director as necessary, and prepare and distribute itineraries for Guest Artists and Music Director
  • Coordinate ancillary activities with guest artists and Music Director in conjunction other departments (e.g., publicity, special events)
  • Assist with contracting for guest artists, including guest artist files and updating database.
  • Track personal service contracts for Calgary Philharmonic musicians
  • Requisition guest artist fees
  • Administer rider requirements, and ensure guest artist dressing rooms and Music Director Suite is set up for all orchestra services
  • As required, assist with set-up for community engagement or fundraising events.
  • Track travel / accommodation lines and SOCAN fees in operational budget
  • Build and maintain relationships with relevant vendors (e.g. hotel staff, drivers, volunteers, artist managers)
  • Provide support for live-recording project
  • Assist Orchestra Personnel Manger with Auditions, as required
  • Assist with Grant proposals
  • Proof marketing materials
  • Additional duties as assigned


  • Passion for the arts, and ability to work in a fast-paced environment and manage multiple projects effectively
  • Excellent organizational and interpersonal skills with impeccable attention to detail
  • Computer proficiency
  • Ability to handle confidential/sensitive information
  • Ability to work nights and weekends
  • Experience with an arts management database (e.g. OPAS) an asset
  • Valid driver’s license
